### ** Terminology & Audience**

**Audience:**
This guide is for ShiftMatch users who prefer a drag-and-drop view of their upcoming shifts, with a focus on grouping by shift type.

| Term Used Here | Also Known As | Notes |
| --- | --- | --- |
| My Offers | Availability, Nominations, Preferences | Shifts you’ve flagged as available to work |
| Work Requests | Invites, Opportunities, Shift Requests | Shifts you’ve been directly asked to work |
| Confirmed | Assignments, Booked, Shortfalls | Shifts you’ve been officially rostered for |
| Open Roster | Available Shifts | Unfilled shifts open to qualified staff |

---

### ** What’s This All About?**

Kanban View provides a visual approach to managing your roster. Shifts are organised into four columns according to their status: confirmed, requested, open, or offered. This setup is ideal for users who appreciate a categorised layout that allows for easy movement of tasks.

Additionally, you have the flexibility to rearrange the columns to match your personal preferences, ensuring a user-friendly experience in managing your schedule.

Success means you have a clear overview of your shifts, enabling you to quickly identify what requires your attention, all in one convenient location.

---

## Setup / What You’ll Need First

Before you begin:

- ✅ Access to *My Roster* in ShiftMatch (web interface)
- ✅ An active login
- ✅ Shifts to display (availability set, requests received, or shifts assigned)
- ✅ Optional: Use filters to declutter your screen

> ℹ️ *Tip:* Kanban is especially handy if you’re managing multiple types of shifts across a busy roster.

---

## 📚 Step-by-Step Instructions

### 1. Open Kanban View

- From the **My Roster** page, select the **Kanban View** icon in the top-right corner (it’s the third option in the view toggle).
- You’ll now see your shifts grouped into four columns by type.

---

### 2. Understand the Columns

Each shift appears as a card, showing the date, time, and location.

The columns are:

- 🟩 **Confirmed** – Your booked shifts
- 🟦 **Open Roster** – Available shifts you can pick up
- 🟥 **My Offers** – Times you’ve said you’re available
- 🟧 **Work Requests** – Specific shifts you’ve been asked to work

⚠️ *Note:* Colours and column order may vary depending on your organisation’s preferences.

---

### 3. Customise Your Layout

- To rearrange the order of columns, click and drag them to your desired position.
- If you want the Open Roster on the left, move it there. Prefer to have Confirmed on the far right? Feel free to do so.
- Your layout will remain consistent throughout your session.

> ℹ️ *Tip:* This view works best if you like seeing everything by category instead of by date.

---

### 4. Use Filters to Simplify Your View

At the top-left of the screen, use filters to show or hide any of the following:

- ✅ My Offers
- ✅ Work Requests
- ✅ Confirmed
- ✅ Open Roster

This can help reduce visual clutter and focus only on what matters to you right now.

### 5. Use the Navigation Tools

- **Today** – Jump to shifts scheduled for today
- **Forward Planning** – See when future shifts become available and plan ahead

---

 **Helpful Hints & Troubleshooting**

| **Problem** | **Likely Cause** | **Solution** |
| --- | --- | --- |
| Can't see any shifts | Filters might be hiding them | Check that all relevant filters are enabled |
| Can't move shifts between columns | That’s expected | Shift types are system-assigned; columns are fixed by type |
| Kanban View not saving layout | Layout resets with each login | Rearranging is session-based (not permanent) |
