## **Roster View—The Familiar Favourite, Now Streamlined**

**Roster View**, also known as Period View, provides a concise and scrollable overview of your upcoming shifts, typically displayed in a one- or two-week format. This familiar layout has been enhanced with improved spacing, clearer labels, and more polished visuals.

If you are accustomed to the classic format, this updated version will feel familiar—only now, it is even easier to read and navigate.

### **Terminology & Audience**

**Audience:**
This guide is for ShiftMatch users who prefer a traditional schedule layout, displayed in a time-based grid.

| Term Used Here | Also Known As | Notes |
| --- | --- | --- |
| My Availabilities | Offers, Preferred Shifts | Shifts you’ve marked yourself available for |
| Work Requests | Invites, Shift Requests, Heads Up | Shifts where you’ve been asked to work |
| Confirmed | Shortfalls, Assigned, Booked | You’ve been rostered for these shifts |
| Open Roster | Vacant Shifts | Unfilled and available to eligible staff |
| AM / PM / ND | Morning, Afternoon, Night Duty | Shift periods, sometimes styled differently by org |

---

### What’s This All About?

Roster View offers a user-friendly, timeline-based perspective of your shifts. It presents shifts organised by date and time over a weekly or fortnightly period, simplifying the process of tracking commitments, identifying gaps, and taking necessary actions.

Success means you can conveniently check your upcoming shifts, modify your availability, and respond to requests — all from a single place.

---

## Setup / What You’ll Need First

Before using Roster View:

- ✅ Access to *My Roster* in the ShiftMatch web app
- ✅ An active login
- ✅ Availability or existing shifts assigned to you
- ✅ (Optional) Use filters to customise your view

> ℹ️ *Tip:* This layout is most helpful when you want to quickly scan upcoming shift activity without clicking through multiple screens.

---

## Step-by-Step Instructions

### 1. Open Roster View

- Go to **My Roster**.
- Click the **Roster View** icon in the top-right corner (first icon in the view toggle).
- The screen will load a rolling two-week block of shifts in a vertical timeline format.

---

### 2. Understand the Layout

Each day is broken into standard shift blocks (AM, PM, ND). Shifts are displayed as coloured timelines aligned to each day.

- Scroll up/down to view additional blocks if the list is long.
- The right side of each block shows shift details: times, locations, and status.

**Colour Key:**

- 🟥 **My Availabilities** – You’ve offered to work
- 🟧 **Work Requests** – You’ve been asked to work
- 🟩 **Confirmed** – You’ve been rostered
- 🟦 **Open Roster** – Available shifts you can pick up

---

### 3. Take Action

In Roster View, you can:

- ✅ **Add or update your availability** – Simply click the button located in the top-right corner.
- ✅ **Accept or decline work requests** as they come in.
- ✅ **Pick up available shifts** from the Open Roster.
- ✅ **Utilise filters** (found in the top-left) to customise your visible options.

> 📝 *Note:* If the screen appears cluttered, consider using the filters to hide non-essential shift types, which will help simplify your view.

---

### **What You Can Do in This View (and All Views)**

No matter which view you’re in (Roster, Calendar, Kanban), you can:

- ✅ **Add or edit availability **always there in the top right. Don’t worry, more on Forward Planning later.
- ✅ **Accept or decline work requests**
- ✅ **Pick up open shifts**
- ✅ **Use the top-left filters** to hide or show:

If your screen looks a little *extra*, hide what you don’t need until your eyes forgive you.

---

### 4. Navigation Tools

- **Today** – Quickly navigate to today's date.
- **Left/Right Arrows** – Progress forward or backward in two-week increments.
- **Forward Planning** – Explore upcoming shift opportunities beyond the current schedule.

---

### Helpful Hints & Troubleshooting

| Problem | Likely Cause | Solution |
| --- | --- | --- |
| Can’t see all my shifts | Limited scroll or filters active | Scroll further or adjust your filters |
| Shift labels don’t match legend | Custom names used by your organisation | Refer to the terminology table above |
| Too much showing on screen | Visual overload | Use filters to show only what you need |

---

## FAQ

**Can I switch to a one-week view instead of two?**
The ability to switch views depends on your organisation’s settings. Please consult your administrator for assistance if you can only see a two-week block.

**Why are some shifts missing?**
Some shifts may not be visible because you need to scroll down further, or specific filters might hide certain shift types.

**Is this available on mobile?**
Currently, Roster View is only accessible via the web. For mobile access, please use the ShiftMatch app.
